ChatGPT Explained: A Beginner’s Guide

ChatGPT is an AI assistant from OpenAI that you can use to ask questions, understand information, write, and work through tasks. You describe what you need in everyday language, then continue the conversation to improve the result. You do not need to know how to code or use special commands. Official OpenAI introduction

This guide covers practical ways to use ChatGPT at home and at work.

What can ChatGPT help you do?

You can ask ChatGPT to:

  • Write and edit: Draft emails, letters, website content, and social posts.

  • Explain: Break down an unfamiliar topic into simpler language.

  • Summarize: Pull the main points from notes or documents.

  • Brainstorm: Develop ideas for a project, business, or personal goal.

  • Plan: Organize tasks into a schedule, checklist, or action plan.

  • Compare: Lay out options and explain their differences.

  • Work with information: Review files, organize data, and create useful documents. ChatGPT capabilities

Treat its answers as work to review. ChatGPT can produce a polished response that contains mistakes or leaves out important information. Check the details before using or sharing it. OpenAI’s guidance on reviewing results

Getting started in three steps

  1. Open ChatGPT. Sign in or follow the instructions to create an account.

  2. Start a chat. Choose Chat for a question or conversation. Where available, choose Work for a larger task that needs a finished result.

  3. Type your request and send it. Include any details ChatGPT needs to give you a useful answer. Getting started

Try something small:

“Help me write a polite email asking to reschedule an appointment. Keep it brief and friendly.”

Then ask for a change:

“Make it a little more professional.”

You do not need to get the first request perfect.

The main features, explained simply

1. Chat: ask, answer, and refine

Chat is the conversation itself. You can ask follow-up questions, add details, or explain what needs changing.

Useful follow-ups include:

  • “Use simpler words.”

  • “Give me an example.”

  • “Turn this into a checklist.”

  • “Ask me questions before you continue.”

These follow-up messages help shape the answer around your needs. Writing useful requests

2. File and photo uploads: bring your own information

You can attach supported documents, spreadsheets, presentations, PDFs, and images, then explain what you want ChatGPT to do with them. For example, ask it to summarize a report, compare two documents, or explain a screenshot. Working with files and images

Everyday example:

“Summarize this instruction manual into five setup steps.”

Work example:

“Review these meeting notes. List the decisions, unanswered questions, and next steps.”

Tell ChatGPT which file or section matters most, especially when you attach several items.

3. Web search: look up current information

ChatGPT can search the internet when you need information that may have changed, such as recent news or product details. When it uses search, it includes sources you can open and check.

Example:

“Search for the current baggage policy on this airline’s official website. Include the source link.”

Deep research is intended for questions that need a more detailed investigation across multiple sources. Where available, it can produce a report for you to review.

Example:

“Compare three email newsletter services for a small business. Use current official pricing and explain the differences.”

A source link gives you something to verify. It does not automatically make the answer correct. Web search and deep research

4. Voice: talk instead of typing

On supported plans and devices, voice lets you have a spoken conversation with ChatGPT. You can discuss an idea, ask a follow-up question, or change direction while talking.

Example:

“Help me practice introducing my business. Ask me one question at a time.”

Voice conversation is different from dictation. Dictation turns your speech into written text; voice conversation lets you speak back and forth with ChatGPT. ChatGPT Voice

5. Images: create or change a visual

Where image generation is available, you can describe an image you want or upload a reference image and request changes.

Example:

“Create a simple illustration for an article about learning AI. Use soft blue and cream colors, with no text.”

You can then ask for specific adjustments, such as a different background, color palette, or composition. Image creation and editing

6. Projects: keep related work together

A Project keeps chats, files, and instructions together around one topic or goal. Think of it as a workspace for something you will return to.

Everyday example: A home renovation Project with room measurements, ideas, and planning conversations.

Work example: A newsletter Project with audience notes, previous editions, and writing instructions.

Project instructions apply across the chats in that Project, so you can provide shared background once. Projects

7. Memory and custom instructions: personalize the help

These features serve different purposes:

  • Custom instructions tell ChatGPT how you want it to respond, such as “Use plain language and keep paragraphs short.”

  • Memory can carry useful information from earlier conversations into future work, such as recurring preferences.

Review the personalization controls available in your settings. The options differ between web and desktop. Personalization and memory

8. ChatGPT Work: create a finished result

ChatGPT Work is designed for larger tasks, such as turning source material into a document, presentation, spreadsheet, or PDF.

Describe what the finished item should include and provide the information it needs.

Example:

“Turn these notes into a two-page welcome guide for new customers. Include an introduction, a checklist, and contact details.”

Open the finished file, review it, and request changes before downloading or sharing it. Creating and reviewing files

9. Plugins and connected apps: use other tools

Plugins add capabilities to ChatGPT. Some connect it to services such as Gmail, Google Drive, or Slack, so it can work with information in those services.

A plugin may also include skills, which are reusable instructions for carrying out particular tasks.

Example:

“Find the project brief in my connected Google Drive and summarize the main requirements.”

Connections require setup and permission. Review what a plugin can access and do before using it. Availability varies by account and device. Plugins and connected services

10. Scheduled tasks: repeat useful work

Where scheduling is available, you can ask ChatGPT to run a task at a particular time or on a recurring schedule.

Example:

“Every Monday morning, create a short planning checklist using the priorities in this Project.”

Check that the task has been created with the correct timing and instructions. Tasks that need files on your computer may require the computer to stay on with the desktop app running. Scheduled tasks

How to ask for a useful answer

A prompt is simply the message you send to ChatGPT.

For a more specific result, include:

  1. The task: What do you want it to do?

  2. The context: What background matters?

  3. The format: How should the answer look?

  4. The boundaries: What should it include, avoid, or check?

You do not need all four for every question. Use the details that matter. Prompting guidance

Instead of:

“Write a social post.”

Try:

“Write a Facebook post for my local bakery announcing Saturday’s cupcake sale. Keep it under 80 words, use a friendly tone, and leave a space for the price. Do not invent any sale details.”

For an everyday task:

“Plan five simple dinners for two adults. Each should take under 30 minutes. Avoid mushrooms and include one combined shopping list.”

Which model should you choose?

A model is the AI system that powers the response. Some options prioritize speed, while others spend more time working through difficult tasks.

Start with the default setting available in your account. If a task needs deeper analysis, try a setting that allows more reasoning. This can take longer and use more of your allowance. The choices available depend on your account and the version of ChatGPT you are using. Models and settings

Using ChatGPT responsibly

Make these habits part of your routine:

  • Verify important facts. Check names, dates, numbers, quotations, and sources.

  • Review drafts before sharing. Make sure the wording is accurate and appropriate.

  • Protect sensitive information. Avoid including passwords, banking details, or confidential material that the task does not require.

  • Follow workplace rules. Check your organization’s policy before uploading business or customer information.

  • Use qualified professionals for important decisions. ChatGPT can help explain a topic or prepare questions, but medical, legal, and financial decisions need appropriate expert review. OpenAI’s review guidance
